Meadow Checkout

A reliable, modern e-commerce platform designed for the full college ecosystem.

Schools collect hundreds of payments outside of tuition with no unified system to manage them. Checkout solved it from both sides. Admins get a simple way to publish items, send private payment links, and reconcile every transaction in one place. Students get a clean, no-login checkout that works like any modern e-commerce experience. The result was a 23% increase in completed transactions and an end to the manual receipt sharing that had slowed finance teams down for years.

I met with various school administrators on a cadence of twice a week for a month to gather insights into what was not working. Two pain points emerged: purpose built tools were stuck with outdated, unintuitive workflows that made routine tasks harder than necessary, while general e-commerce platforms operated in isolation from the Student Information System, forcing staff to manually reconcile data across systems.

Both paths led to frustrated admins, inconsistent student experiences, and lost revenue.

It’s really intuitive to create new items, add fields and track orders. It’s been a game changer for us.

The student experience

Students and guests can browse, add to cart, and pay without creating an account. I modeled the experience on familiar consumer e-commerce so there was nothing new to learn.

Working closely with product and engineering, I built and tested a prototype with 8 students across 3 schools to validate the flow before moving into production. From there, I partnered with an engineer to bring the designs to life and ship.

The school administrator experience

Admins can publish a public storefront or send private payment links, giving schools precise control over what's open versus targeted. Items are simple to add, edit, and delete with a live preview, and custom fields were reduced to a single click.

To get there, I mapped the full user flow alongside product to understand the different levels of the experience, then walked engineering through it to align on scope and technical requirements. I prototyped the admin experience, tested it directly with school admins, incorporated their feedback, and delivered the final designs to engineering.

There was pushback on the engineering scope to have the item preview so we initially released the experience without it.

I explored various approaches to item fields, ultimately finding that a dropdown with multi-select performed best. I also renamed 'Add-ons' to 'Fields,' which proved more intuitive for users.

Every transaction flows into one dashboard where admins can search, filter, export, and share receipts instantly. Reporting is configurable by department so each team sees only what's relevant, with a daily Payments Report for item-level purchases and a Reconciliation Report for finance.

Reconciliation that used to span multiple systems now takes minutes. Every transaction flows in automatically no manual entry, no spreadsheet gymnastics.
